As the Office Assistant you will be responsible for the day to day smooth running of the office. You will handle organizational and clerical support tasks which may include organizing files, scheduling appointments, writing copy, ordering supplies and inventory, issuing price quotes, receiving guests and more, depending on the company and its needs.
The ideal candidate will be a hard-working professional able to undertake a variety of office support and tasks This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.
Welcoming guests and visitors as needed
Handling incoming calls and other communications.
Coordinating the use of meeting rooms and office equipment
Dealing with correspondence and negotiation with external providers and suppliers, vendor queries
Maintaining supply inventory – managing stock levels of office supplies; Ordering new when necessary
Helping organize and maintain office common areas Providing overall administrative and logistic support to the team
Organizing travel by booking transport, accommodations and reservation needs as required
Coordinating events as necessary
Managing office cash budget
Providing general support and assistance to operational manager, HR manager and company employees/guests
Creating, maintaining, and entering information into databases (Mainly with MS Excel)
Proven experience as an office assistant at least 2 years
High school diploma or associate degree.
Pro-active in nature, ready to help and support others’ work
A warm personality with strong communication skills, interactive, helpful and friendly
Excellent knowledge and fluency in English
Computer literacy: Microsoft Office – Outlook, Word, Excel – expert level
Very good organizational skills, able to prioritize under pressure and work well under limited supervision
Diligent and loyal, quick and effective, responsible, with attention to detail and a “can-do” attitude
Has a valid driver license
